Document Tags give your team a shared view of what action every client file needs. Apply built-in tags or create your own to match how your firm works. Tags sync across every place the file shows up: Client Files, Project Files, Client Task files, and the Client Uploads report.
Every firm starts with 7 built-in tags: Missing Info, Needs Review, Duplicate, Unreadable, Downloaded, Processed, and New. The New tag is applied automatically whenever a client uploads a file, so you can spot fresh submissions at a glance. You can rename or recolor most built-in tags, but New and Downloaded are system-locked.
Where you can tag documents
You can tag files from any of these 4 areas:
Client Files on a client profile (Files tab, Client Files)
Project Files on a project page (Files tab, Project Files)
A Client Task that has uploaded documents
The Client Uploads report at Clients > Client Uploads (both the Client Uploads and Client Task Uploads tabs)
Each area has a tag button next to every document. Only the Client Uploads report supports applying or removing tags in bulk. See the sections below for each pattern.
Tag a file (single file, any of the 4 areas)
Open one of the 4 pages above and find a file.
Click the tag icon on that row. A dropdown opens with a search box and the full list of available tags.
Click any tag to apply it. A checkmark appears next to applied tags.
To remove tags from a file, click the × on the tag, or open the dropdown and click the tag again to toggle it off. To remove every tag from the file in one action, click the tags button and click Clear Tags.
Tag or untag multiple files in bulk (Client Uploads report only)
Bulk tagging is available only in the Client Uploads report. The other 3 areas let you tag one file at a time.
Navigate to Clients > Client Uploads.
Switch between the Client Uploads tab (Shared Folder uploads) and the Client Task Uploads tab (uploads tied to a specific client task) as needed.
Use the checkboxes on the left to select 1 or more files, or check the header to select every file in the current view.
Click Tag As in the toolbar that appears, then pick the tags to apply.
To remove tags from the selected files instead, click Clear Tags in the same toolbar.
The bulk action runs against every file you have selected, across both tabs separately.
Create a custom tag
You can create custom tags whenever you need a label that fits your firm's workflow.
Open any document list and click the tag icon on a file row.
Click Manage Tags at the top of the dropdown. The Manage Document Tags dialog opens.
In the form at the bottom of the dialog, type a name in the Label field. The maximum length is 120 characters.
Click the color button and pick a color from the palette.
Click Add Tag.
The tag is immediately available to everyone in your firm.
Edit, reorder, or delete a tag
Open the Manage Document Tags dialog from any file row's tag dropdown. From there:
Rename or recolor a tag: Click the edit (pencil) icon next to the tag, update the Label or color, and click Update Tag.
Reorder tags: Drag the handle on the left of any tag row to change the order tags appear in pickers and filters.
Delete a tag: Click the trash icon next to the tag. Financial Cents shows how many files currently use the tag and asks you to confirm. Deleting a tag removes it from every file that has it. This action is permanent.
ℹ️Heads up! Two built-in tags are locked: New and Downloaded. You cannot edit, recolor, or delete them. The 5 other built-in tags (Missing Info, Needs Review, Duplicate, Unreadable, Processed) work like custom tags and can be renamed, recolored, deleted, or reordered.
When the New tag is applied automatically
Financial Cents applies the New tag for you whenever a client uploads a file through the Client Portal. This covers:
Files a client uploads into the Shared Files area
Files a client uploads in response to a Client Task
Documents a client shares with you through the portal within a shared folder
Files your firm uploads do not get the New tag automatically. New is a client-action signal: when you see it, the file came from your client and needs your attention. Remove the New tag once your team has reviewed the file.
Filter the Client Uploads report by tag
The Client Uploads report has a Tags filter so you can triage documents across all your clients in one view.
Navigate to Clients > Client Uploads.
Click the Tags filter in the toolbar.
Select one or more tags.
The report updates to show only documents with a matching tag. Use this view to find every file flagged Needs Review, every file your team has not yet Downloaded, or any custom triage state your firm has set up.
💡Pro Tip! The Tags filter works on both the Client Uploads tab and the Client Task Uploads tab. Switch tabs to triage each source separately, or apply the same filter to both for a full picture.
