This is a Scale Plan Feature. Upgrade anytime.
Automatically trigger a customized email to your client when your team completes a task or section of tasks. This can automate updates or admin tasks. For example, you can use it to automatically send an email with:
A calendar invite to schedule a meeting
A survey to get feedback on the deliverables
A link to the document management system for viewing the reports
Or just a simple update on the status of the work so they are in the loop
You can set up this automation under within a Tasks or on Sections within a project.
How to create the email notifications
When setting this up, you will need to create the email templates. These are the email notifications that will be sent to your clients. You will see an option to Manage Email Templates when setting up the automation.
Click + New Template to create a custom email notification. You can also use placeholders to customize the messages across all your projects at scale on a client-by-client basis.
*** These templates can be applied to other projects
While customizing the message, you can preview what it will look like for the client by clicking Preview. When finished, click Save to use the new template.
Review and edit the email before it sends
When a team member completes a task that has a Send Email automation attached, Financial Cents pauses and opens a Task Automation slide-out panel. This gives your team a chance to review the email, make any last-minute edits, or skip sending if it is not needed for this particular client.
From the Task Automation panel, you have 3 options:
Send Email to Client: reviews the pre-filled subject, body, and recipient list, then sends the email immediately.
Complete Without Sending: marks the task complete and skips the email entirely for this instance.
Cancel: closes the panel without completing the task or sending the email.
Before clicking Send Email to Client, you can edit the subject line, body, and recipient list directly in the panel. Changes made here apply only to this send and do not affect the saved email template.
ℹ️Heads up! If a task has both a Send Email and a Create Project automation, the panel steps through each one in sequence. The email step always shows the Send Email controls described above. The Create Project step has its own set of controls and is documented in the Create Project automation article.
