The client task/request list can be used in many different ways, including:
Securely requesting documents or information
Securely sending documents
Requesting an eSignature
Asking a question
Ask your client about uncategorized transactions
Ask your client to fill out a form virtually (Tax organizer, intake form, etc.)
This article will teach you how to create each request item above, send the request list to your client, and set up automated reminders.
How to create your request items:
Requesting a document from your client
Within your project, click + New Section > Click Client Tasks > Type in what you would like to section to be called, then press Enter on your keyboard.
Click Add Client Tasks > and you will be prompted to select one of the following options:
Securely request documents - Request your clients to upload documents.
Securely send documents - Request your clients to download documents.
Request an eSignature - Connect your Adobe Sign account and submit requests for electronic signatures (eSign).
Ask a question - Send a question to your client.
Categorize Transactions - Ask your client questions and for notes and documents about transactions.
Each option will prompt you to add a title for the client task. Enter the name of the task and click Create Client Task.
Then, the requested item will be created. If needed, you can add a description and due date for the client.
After the request list is activated (shown later in the article) when the client is in the portal, they will be able to upload the documents directly into Financial Cents.
Customize upload destinations
You can change the destination if you prefer the documents to go to a different document management system (Sharefile, SmartVault, Google Drive, Dropbox, etc.). When creating
When creating the Client Task, select Securely request documents. On the next page, click To another document system. You can customize the text in the button and enter the link to the location of the folder you want the document to be uploaded to.
If you want to change the upload destination to an existing task, click Manage Client Uploads > Customize Upload Destination
Then paste in the shareable link to your document management system.
Send a document to your client
When creating a client task, select Securely Send Documents. Type in the description of what you are sending to the client and attach the document to the client's task. Once you are finished, click Create Client Task.
Asking your client a question
When creating a client task, select Ask a Question. Type in your question and create the requested item
This will disable client uploads by default on that client task to prevent client confusion
When your client answers the question, you can view it in the comments section.
Ask your client to fill out a form virtually (Tax organizer, intake form, etc.)
You can leverage the Securely request documents option to direct your clients to an online form. To do so:
Create a client task and select Securely Request Documents.
In the task name, enter a description of the form you want them to submit.
Select To another document system.
Change the button display text to say "Fill out form" > Then add the shareable link to the online form. We would recommend using Google Forms, Jot Form, or Cognito Forms.
How to schedule/send the request list & automated reminders
Click Schedule or Send at the top of the Client Section you'd like to send.
Select the date you want the request list to be sent to your client
To schedule Reminders, click Auto-Reminders, then choose how often you want automated reminders to be sent to your client until they complete the request list.
Important Tip
If the project is set to recur, the client tasks will recur with the project and automatically be activated every day, week, month, quarter, year, etc.
For example, if you have a monthly bookkeeping project that recurs every month. The client tasks will recur with the project and be sent to the client every single month automatically. You will never have to activate the request list again. It will be automated as long as you keep using the feature.
How to send a one-time notification to a client
If you prefer to send a one-time notification immediately, just click Schedule or Send on the client task section > click the Send Now option > and click the button that says Send notification now.
