Workflow Templates - Document Your Processes

Turn your firm's processes into reusable templates, then keep them organized with categories so the right template is always seconds away.

Workflow templates help you document your accounting processes so your team can efficiently complete work and follow your firm's standards. This allows your firm to maintain work quality as you grow and delegate work to team members.

A workflow template is a guide or SOP that outlines exactly how to complete work.

Financial Cents already has a library of over a dozen ready-to-go workflow templates that you can use to create work. However, if preferred, you can customize our templates or even create your own.

How To Customize or Create Your Own Templates

⚠️Please note. If you create work from a template and then go back and edit the template after creating the work, the edits will not be applied to the work already created from that template. So make sure you finish setting up your templates before creating the work.

Organize your templates with categories

As your template library grows, finding the right template from a long flat list gets slow. Template categories fix that: group your templates by service line (for example Bookkeeping, Tax, Payroll, Advisory) and the categories carry through to project creation.

  1. Navigate to Workflow > Templates.

  2. Click + Category at the top right of the template list and name your category.

  3. Drag and drop templates between categories to organize them. Templates that have not been assigned to a category sit in the Uncategorized group.

When you or your team create a project through Create > Project > From Template, templates appear grouped by these same categories, so picking the right one takes seconds instead of scrolling.

ℹ️Heads up! A Manage Workflow Template Categories permission controls who on your team can rename, reorganize, or delete categories. If a team member cannot move templates between categories, check their permission settings.

💡Pro Tip! Template sections can also be marked non-recurring, which is useful for one-time setup or onboarding tasks inside otherwise recurring work. See Recurring Projects: How they work for how non-recurring sections behave.
