Create an organizer template

Build a template with the questions and document requests you use for tax preparation, then use it for your client projects.

  1. Go to Settings > Organizer Templates.

  2. Click + Template, then enter a Name and select a Tax Type. You can also select an existing template to edit it.

  3. Customize the welcome message to introduce the organizer and explain what your client needs to provide. Every organizer includes this message.

  4. Add sections to group related information, then add pages within each section.

  5. Add your questions and document requests. Choose the question type that fits the information you need, such as a name, date, multiple-choice question, or file upload. Review the settings for each question and mark required questions as needed.

Each page groups the questions your client sees at a time. For example, you could create separate sections for personal information, income, and deductions, with shorter pages inside each section.

Tailor questions with conditional logic

Conditional logic shows follow-up content only when a client's earlier answers make it relevant. You can apply a condition to an individual question, a page, or an entire section. This keeps the organizer focused while letting you collect more detail when it is needed.

For example, ask Did you receive rental income? near the start of the organizer. When the client answers Yes, show a Rental income page with questions about the property and a request for rental statements. A client who answers No does not need to work through that page.

Set up a condition

  1. Add the question that will determine what appears later. Use Yes / No, Dropdown, Multiple choice, or Checkboxes.

  2. Place the follow-up question, page, or section after that question. For the rental example, create a Rental income page after the initial income questions.

  3. Open the conditional settings for the content you want to show. On a page, click Add Conditional.

  4. Select the earlier question, then select the answer that should show the content. For this example, choose Did you receive rental income? and Yes.

  5. Click Save Conditional.

Only eligible questions earlier in the organizer can trigger a condition. If the question you need is missing from the selector, check its position and question type. Questions on repeatable pages cannot be used as triggers. Free-text answers, dates and numeric amounts are not conditional triggers.

Combine multiple conditions

Add more than one condition when the follow-up depends on several answers. Choose how those conditions work together:

Setting

When the content appears

Example

All

Every condition must be true.

Show rental-management questions when the client answered Yes to rental income and Yes to using a property manager.

Any

At least one condition must be true.

Show an additional-income section when the client selected rental income or self-employment income in an earlier income-types question.

A condition on a section controls the content inside that section; a condition on a page controls the questions on that page. If a question or page also has its own condition, that condition must be met too. Keep the triggering questions outside the content they control so clients can answer them first. Required questions hidden by conditional logic do not prevent the client from submitting the organizer.

Test the client's path

Use Preview Form to test the full organizer. Try answers that should show the follow-up content, then answers that should hide it. For All rules, check what happens when only one condition is met; for Any rules, check each qualifying answer separately.

Preview Section is useful for reviewing one section's content, but keeps that section visible for preview even if its own condition is not met. Use the full-form preview to verify section-level visibility. When your questions and conditional paths are ready, click Finish.

Add the organizer to a project

  1. Open the client's project.

  2. Click Client Request, then select Client organizer section.

  3. Select the organizer template you want to use.

  4. Click View organizer to open the organizer and review its contents.

The organizer view includes a summary and a place to review uploaded documents.

Send the organizer and set reminders

  1. Click Schedule or Send.

  2. Review Tax Year and select the year the organizer is for.

  3. Under Send To, choose the client contacts who should receive it.

  4. Choose whether to send the organizer now or on a specific date.

  5. Configure Auto Reminders to follow up with your client. Reminders stop when the client submits the organizer or the project closes.

  6. Choose which team members should receive submission and verification notifications.

  7. Review your selections and send or schedule the organizer.

The 2 notifications support different steps in your team's workflow:

Notification

When to use it

Submission

Notify the team member who will review the client's answers and documents when the client submits the organizer.

Verification

Notify the team member who will pick up the work after the organizer has been reviewed and marked as verified.

You can also choose no notification if your team does not need an email for either step.

Review answers and documents

Your client can answer questions and upload documents through the organizer. As they provide information, their responses and uploads populate the organizer for your team to review.

After the client submits it, review the answers and documents to confirm you have what you need. Click Mark as Verified once your review is complete. If you configured a verification notification, the selected team member is notified so they can pick up the next step.

Clients can edit and resubmit their answers until you mark the organizer as verified. After verification, the organizer becomes view-only for the client.

For example, an administrator can review the submission for completeness, then notify the tax preparer through the verification step.
