Month End Close: Shared Transactions Report

See every transaction you have shared with a client for review, track which ones the client has answered, and approve the resolved ones — all from the client's Month End Close tab.

The Shared Transactions Report gives you a single view of every transaction you have shared with one client for review during their Month End Close. Instead of digging through the source Transaction Review report to find which transactions are still waiting on a reply, this report puts every shared transaction for that client in one place, splits them into Needs Review and Approved tabs, and shows the client's answer alongside your original question.

This report is part of the Month End Close add-on ($5 per client per month, available on any FC plan). You need an active Month End Close license for the client to access this report. If you have not set up Month End Close yet, start with the Month End Close Overview.

Open the Shared Transactions Report

  1. Open the client's profile.

  2. Click the Month End Close tab.

  3. Find the Transaction Review card on the dashboard.

  4. Click Shared Transactions to open the report in an aside panel.

The modal title shows Shared Transactions with the client's name as the subtitle, confirming you are looking at that one client only. The Shared Transactions Report shows every transaction shared from that client's other Transaction Review reports (Uncategorized Transactions, Transactions without Payees, and so on) regardless of when you shared it.

Needs Review vs Approved Tabs

The report opens with 2 tabs:

  • Needs Review - transactions you have shared with the client that you have not yet approved. This is where you triage the client's answers and decide what to do next.

  • Approved - transactions you have already reviewed and approved. Useful for confirming nothing was missed before you close the period.

What the Report Shows

Each row in the report represents 1 transaction you shared with the client. The default columns are:

  • Date - the transaction date

  • Question to Client - the question you sent when you shared the transaction

  • Client Answer - the client's reply, if they have responded via the Client Portal (blank when no response yet)

  • Amount - the transaction amount

Click Customize Columns in the top-right of the modal to add or remove additional columns. Available extras include Type, Vendor, Description, Category, Account, Status, and Billable (off by default). Drag the handle on the left of each column to reorder them.

ℹ️Heads up! Date, Question to Client, Client Answer, and Amount are required columns and cannot be hidden. Their checkboxes are locked.

Search and Approve

The Shared Transactions Report does not have separate filter dropdowns for client, period, or report type because the report is already scoped to a single client and shows every shared transaction regardless of date. To narrow what you see, use the search bar at the top: it matches against account, vendor, category, or description.

When the client has answered and the question is resolved:

  1. Make sure you are on the Needs Review tab.

  2. Find the row to approve.

  3. Use the row's approve action to mark it complete. The row moves to the Approved tab.

To undo, switch to the Approved tab and use the row's unapprove action to send it back to Needs Review.

A Typical Workflow

A common workflow for a client whose period is closing this week:

  1. Open the client's profile and go to the Month End Close tab.

  2. Open the Shared Transactions report from the Transaction Review card.

  3. On the Needs Review tab, read each Client Answer to see what the client said.

  4. Approve the rows whose answers are sufficient. Leave anything that still needs follow-up on the Needs Review tab.

  5. When the Needs Review tab is empty, the client has no outstanding shared transactions blocking their close.

💡Pro Tip! Pair the Shared Transactions Report with the Account Reconciliation Report and the 1099 and W-9 Preparation Report on the same MEC tab to clear every blocker for the client before signing off on the close.
