The 1099 and W-9 Preparation Report helps you stay ahead of the 1099 season by organizing vendor data, W-9 collection, and review workflows in one place. The 1099 and W-9 Preparation Report helps you quickly identify vendors who may need a 1099, request missing W-9s, and clean up vendor details, without leaving Financial Cents. This report is part of the Month End Close feature and pulls data directly from QuickBooks Online.

This report is designed to reduce manual work and back-and-forth that often accompany 1099 preparation. You can use it to:
Pull a list of vendors from QuickBooks Online
Adjust filters and exclude transactions to focus on vendors who may require a 1099
Request W-9s directly from vendors or from your client
Edit vendor details in Financial Cents and sync those updates back to QuickBooks Online
Access the 1099 and W-9 Preparation Report
If you have not connected your client for the Month End Close feature, please review our Month End Close Overview article.
To access the report:
Navigate to the client’s profile.
Click on the Month End Close tab.
Scroll down to the Vendor & Account Review Reports section
Click 1099 and W-9 Preparation Report.
The report will automatically pull in vendors and related transactions from QuickBooks Online.
Review vendors and refine the list
Start by reviewing the vendors included in the report.
When you click on Edit Transactions, you can:
Adjust filters to narrow down vendors who may require a 1099
Exclude Transaction Types and Accounts that should not count toward 1099 reporting
Include credit card transactions
Show excluded transactions
This helps you focus only on the vendors that actually need follow-up.
Request W-9s
If vendor information is missing, you can request a W-9 directly from the report.
Click the Request W-9 button ✉️next to the vendor
Send a W-9 request to either:
The vendor, or
Your client
Select how often you want the vendor or client to be reminded.
Click Send Request
All requests stay tied to the vendor record, so nothing gets lost in email.
Edit and sync vendor details
You can make vendor updates directly in Financial Cents. Click the checkmark button to modify the vendor details. Once approved, you can choose to have vendor information and the W-9 uploaded to QuickBooks Online.
⚠️Please note: Changes pushed back to QuickBooks Online will update the vendor record there.
💡 Pro Tip: If needed, you can click the Approved or Excluded tabs and move vendors back to In Progress.
