Common questions about the Google Drive two-way sync integration. For setup instructions, see Google Drive Integration: How It Works.
Setup
Do I need to check the permissions box during setup?
Yes. During the Google sign-in, you must check the box that allows Financial Cents to Edit, Create, and Delete files. If you skip this step, the two-way sync will not work. If sync is not working after setup, disconnect the integration and reconnect, making sure to check this box.
Can I connect multiple Google accounts to 1 Financial Cents account?
Yes. You can connect multiple Google accounts, but each client can only be linked to 1 Google Drive folder. When you match clients, you do the matching per Google account.
What if client names in Financial Cents do not match folder names in Google Drive?
Automatic matching requires an exact (100%) name match. If names differ (for example, "&" vs. "and", extra spaces, or different punctuation), use the manual dropdown during the matching step to select the correct folder.
Syncing
How long does the initial sync take?
The initial sync typically takes under 10 minutes. For accounts with a large number of folders and files, it may take longer. If the sync is still running, you will see a syncing indicator at the top of the Files section. Wait up to 1 hour before contacting support.
What happens if I upload the same file twice?
Financial Cents allows multiple files with the same name in the same location. Google Drive does too. Both copies will appear with the same file name. There is no automatic renaming.
Can I also send files from Financial Cents back to Google Drive?
Yes. The two-way sync works in both directions. Files added in Financial Cents appear in the linked Google Drive folder, and files added to Google Drive appear in Financial Cents.
Can I edit files directly inside Financial Cents?
You can preview files by clicking the file name. To edit a file, click the Google Drive icon to open it in Google Drive. Edits you make in Google Drive sync back to Financial Cents. The file must be in a Google-editable format (Google Docs, Sheets, Slides). PDFs and other non-editable formats require conversion in Google Drive first.
Can I use this integration to print tax returns into Financial Cents?
Yes. If you have the Google Drive desktop app installed, you can print or save tax returns from any tax software (Drake Tax, UltraTax, Lacerte, ProSeries, ProConnect, CCH Axcess, TaxAct) to a client's Google Drive folder. The file syncs into Financial Cents automatically. See our tax program integration articles for setup guides specific to each program.
Troubleshooting
What if a file I added in Financial Cents did not sync to Google Drive?
Check for an error icon next to the file. If you see one, click the retry button to attempt the sync again. If the issue continues, disconnect and reconnect the integration. For persistent issues, contact support with the client name.
What if a file I added in Google Drive does not appear in Financial Cents?
Wait a few minutes for the sync to complete. If the file still does not appear, try disconnecting and reconnecting the integration. If that does not resolve it, contact support with the client name so the team can investigate.
Deleting and Disconnecting
What happens if I delete a file in Financial Cents?
With two-way sync active, deleting a file in Financial Cents also deletes it in Google Drive, and vice versa. Deleted files can be recovered from Google Drive's trash within 30 days.
What happens if I delete a client in Financial Cents?
The Google Drive folder remains intact. Only the link between the client and the folder is removed. If you restore the client from the trash, you will need to re-link the Google Drive folder.
What happens if I mark a client as inactive?
The link between the client and the Google Drive folder remains. Files continue to sync.
What happens if I delete a folder in Google Drive?
The files and folder remain in Financial Cents, but you will see a warning that the linked folder could not be found. The folder stays in Google Drive's trash for 30 days, where it can be restored.
Is there a way to restore deleted files?
Files deleted through the sync can be recovered from Google Drive's trash within 30 days. On the Financial Cents side, contact support and the team can restore them for you.
What happens if I disconnect the integration?
All files remain in both Financial Cents and Google Drive. Nothing is deleted. Financial Cents remembers your client-to-folder links, so if you reconnect later, you do not have to redo the matching.
